How briefs reach you

  • What you need. You are offered a brief when you have an active programme in its area. For a brief the company will claim from HRD Corp you also need your HRD Corp accreditation verified. A Train the Trainer certificate alone is not enough; a trainer accredited by exemption qualifies. Without an active programme you cannot express interest in public briefs and you do not appear in the list a company invites from.
  • How a brief reaches you. A company sends its brief to up to 5 trainers it chooses, posts it as a public brief, or does both. At most 5 trainers go forward on any one brief.
  • Who files the claim. A registered training provider files the HRD Corp claim, not you as a trainer, unless you are one. That provider is you, one you bring, or one from our roster.
  • When you are fully booked. Turn off Accepting briefs on your Work page. You stop receiving invitations and cannot express interest in public briefs. Conversations already open carry on.

Invitations

  • Responding. You have 48 hours from the invitation. Responding costs 15 credits, once per brief, and opens the conversation with the company. Your proposal, fee and any files are the first message.
  • On an HRD Corp brief. As you respond, you choose the training provider path: you are your own training provider, you bring one, or you ask for one from our roster. The conversation opens once it is set.
  • Declining. Decline inside the 48 hours and nothing is recorded. The company can invite someone else into the place.
  • Not answering. Let the 48 hours pass without responding or declining and a reliability miss is recorded. Responding late does not remove it. The invitation stays open and you can still respond until the company replaces you.
  • A brief nobody answers. If no trainer at all has responded 30 days after the company sent the brief, the brief lapses: nothing is recorded against anyone, and the company may post a new one.

Public briefs

Open briefs lists every public brief, with the company's name hidden until it shortlists you. Anyone can read them; you can express interest when you have an active programme in the brief's area, and verified HRD Corp accreditation where the company will claim.

  • Expressing interest. Express interest before the closing date, which is shown on every brief and is always 23:59. It costs 5 credits, one interest per brief. The company receives your profile, track record and one short note; no proposal, fee or files at this stage.
  • No withdrawing. An interest cannot be withdrawn, and the 5 credits stay spent whatever happens, with one exception: if the company withdraws the brief before the closing date, we return them the same day.
  • Before the closing date. The company sees only how many trainers are interested, not their names.
  • At the closing date. Every interest is revealed to the company at once, in the order search would show you. The company then has 14 days from the closing date to fill the places its invited trainers did not take, and may extend once by a further 14 days. We tell you if the closing date or the shortlist deadline moves.
  • If you are shortlisted. The company's name is revealed and you have 48 hours to send your full proposal, for 10 credits. From then on you are in the same position as an invited trainer: same conversation, same training provider path, same deadlines. Let the 48 hours pass and a reliability miss is recorded. If you decline from the brief, nothing is recorded.
  • If you are not shortlisted. We tell you a shortlist was made and how many were chosen.
  • If nobody is shortlisted. The company's shortlist deadline, or its one extension, passed with no one chosen, or the company ended the brief. We tell you, and it counts on the company's record.

Reliability misses

  • What counts. A reliability miss is recorded when you leave a company without an answer or without its trainer. There are three moments: an invitation you neither answer nor decline inside 48 hours, a shortlist you neither answer nor decline inside 48 hours, and a confirmed booking you cancel 14 days or less before the training date.
  • What does not count. Declining inside the 48 hours records nothing. A brief that lapses because nobody responded records nothing.
  • What it does. Misses feed the reliability part of your ranking in search. A pattern of misses affects your ranking more than a single miss. Companies do not see the count.

Refunds

  • Interest in a public brief, 5 credits. We return them only when the company withdraws the brief before the closing date.
  • Responses, 15 or 10 credits. We do not refund the 15 credits for an invitation response or the 10 credits for a shortlisted response, even if the company ends the brief.
  • Programme Builder draft, 10 credits. We return them only if the first draft fails.

Payment

When you will be paid

  • Your pay-by date. The booking page shows the one date that applies to you. On a self-funded booking your pay-by date starts when both sides confirm delivery. On an HRD Corp booking it starts when the training provider marks the HRD Corp payment received: the provider pays you within 5 working days of the mark for a roster provider, 14 days for any other, and in any case within 45 days of delivery confirmation, whichever comes first. If HRD Corp queries the claim, the 45-day date moves by the days the claim is paused, 30 days at most.
  • How the money moves. When a training provider pays you, it pays by FPX through WisdomHub. Billplz, our payment gateway, splits the payment the moment it is made, the 5% platform fee one way and your share the other, so WisdomHub never holds your money. When you are your own provider, HRD Corp pays you directly. On a self-funded booking WisdomHub holds the company's money and pays you itself.

HRD Corp bookings

  • Roster training provider. HRD Corp pays the provider. Of what HRD Corp pays, 5% goes to WisdomHub, 15% to the provider and 80% to you. You sign nothing for the claim.
  • A training provider you bring. HRD Corp pays the provider. The provider keeps the share you agreed when you invited it, a percentage of what HRD Corp pays, the 5% platform fee is deducted from the same amount, and you receive the rest.
  • Your own training provider, the claim. HRD Corp pays you. File the claim within 7 days of both sides confirming delivery and mark it submitted on the booking page the day you file. A late pack is recorded as a missed deadline on your provider record.
  • Your own training provider, the platform fee. Mark the HRD Corp payment received when it arrives, then pay the 5% platform fee on what HRD Corp paid, by FPX through WisdomHub, within 14 days of marking it received. Past that date, until it is paid, you cannot express interest or respond to briefs.
  • A training provider that booked you itself. The provider pays your agreed fee. The 5% platform fee is deducted from that amount at the split and you receive 95%.

Self-funded bookings

  • Self-funded booking. The company pays WisdomHub a 50% deposit when the booking is confirmed and the balance within 14 days of both sides confirming delivery. We pay you 95% of the fee, with the 5% platform fee taken off, within 5 working days of the balance arriving.
  • If a self-funded balance is late. We flag it to WisdomHub admin at 7 days overdue. At 14 days overdue the company cannot post briefs or confirm bookings until it pays, and we pay you your 95% of the deposit we already hold, with the rest following the balance. At 30 days overdue we record the balance as a debt and recover it from the company ourselves, since the invoice is ours; we tell you, and the rest of your payout follows when it is recovered.

Invoices and payment confirmation

  • If the money is late. On any HRD Corp path, if it has not arrived by your pay-by date, raise a dispute from the payment page of the booking.
  • Confirming receipt. Confirm receipt on the booking page when the money arrives. If you do nothing, it counts as received 3 working days after the payer paid, the time an FPX transfer takes, and the booking is completed.
  • Your invoice. On an HRD Corp claim, WisdomHub generates your invoice to the training provider when both sides confirm delivery. Only you and that provider can open it. It is a plain invoice, not an e-invoice. A self-funded booking has no invoice from you: WisdomHub issues the company's receipts and invoices and sends you a payout advice.

Ratings

  • What you rate. Each side answers two questions once a booking is completed: how the training was delivered, and how the other side was to work with. You can add one optional comment.
  • Changing a rating. You cannot change a rating after you send it.
  • When ratings show. Ratings stay hidden until both sides have rated, or 14 days after the booking is completed, whichever comes first.
  • Rating a roster provider. You also rate a roster training provider after a claim. That rating is recorded, not published.

Cancellation and postponement

  • Cancelling a booking. Either side can cancel a confirmed booking from the booking page, with a reason. We tell the other side.
  • What is recorded. Cancelling 14 days or less before the training date is recorded against whoever cancelled: a reliability miss for a trainer, a mark on the record trainers see for a company. A cancelled booking is not rated; the cancellation is the only mark.
  • After a cancellation. On an HRD Corp brief, the company's other shortlisted conversations reopen at no new charge, and it may invite someone new.
  • Self-funded, the company cancels. More than 14 days before training, we refund the deposit in full. At 14 days or less before, we refund 90% of the deposit; of the 10% kept, half goes to WisdomHub and half to you.
  • Self-funded, you cancel. We refund the deposit to the company in full whatever the date.
  • Postponing instead. A company can postpone from the booking page for up to 3 months instead of cancelling. The booking stays with you and new dates are agreed in the conversation. On a self-funded booking the deposit is held; on an HRD Corp claim the new date needs a fresh grant application by the company in eTRiS, the HRD Corp online portal. If no date is agreed within 3 months, the booking is cancelled and a held deposit is refunded in full within 5 working days.
  • A training provider that leaves. A training provider can ask to leave a booking until the claim is filed. You have 48 hours to confirm or refuse; if you do not answer, the provider leaves the booking. You put a replacement in place within 7 days of the provider leaving, and before the training date: your own or one from our roster. After that we tell WisdomHub admin. Until a provider is in place the claim cannot be filed and the booking cannot be completed. A provider that leaves is not rated for that booking; the exit is recorded on it.

Complaints

  • Raising a complaint. Use the “Make a complaint” link on any booking, conversation or receipt. It covers anything about a booking, a payment or another user. If you are signed out, the complaints page takes you to log in first. Use Contact us for anything that is not a complaint.
  • What happens when. We acknowledge your complaint by email within 2 working days and send you our decision within 14 days of the complaint. If we need longer, we email both sides the new date and the reason.
  • Possible outcomes. We uphold it, dismiss it, or record a solution both sides agree to, such as a make-up session you offer. We do not order refunds.
  • Disputed delivery. If a company disputes the training, it does not confirm delivery, and WisdomHub admin decides within 14 days of its complaint whether the training counts as delivered.
  • Closing the case. The case closes 7 days after our decision email. If you or the other side reply, it stays open until we close it.

How a brief ends

  • When a brief ends. When the company ends a brief, we tell every trainer on it the outcome: hired an interested trainer, hired an invited trainer, hired elsewhere, or cancelled.
  • Public briefs in between. A public brief also shows company reviewing between the closing date and the shortlist, and nobody shortlisted when the shortlist deadline passed with no one chosen.

Your account and data

  • Logging in. You log in with a 6-digit code sent to your email. There is no password.
  • Changing your email. Enter the new address in Account settings and type the 6-digit code sent there within 15 minutes. We also email your old address to say the change was made.
  • Marketing emails. Switch them off in Account settings or from the unsubscribe link in any marketing email. Notices about your bookings, payments and account always arrive.
  • Your data. File a data request (a copy of your data, an update, erasure) from Account settings; we log it. To have your data sent to another company or service, email privacy@wisdomhub.com.my. We acknowledge within 7 days and answer within 21 days of a verified request, as the Privacy Policy sets out.
  • Closing your account. Closing removes your profile at once and deletes your account data within 30 days. Booking, invoice and credit records stay for 7 years because the law requires it, with your name on them, and we then delete them. Unused credits are forfeited with no refund.
  • What must finish first. Your account cannot close while a booking is open (Confirmed, In delivery, Invoiced or Claim filed) or a platform fee is due. Account settings lists what to finish first.

Credits

A credit is what you use to pursue a brief. Your plan gives you an allowance each month, and you decide when to use it. You can buy more whenever you need them, and one balance covers everything below.

What you doCreditsWhen it is charged
Respond to a brief a company invited you to, and open the conversation15When you respond. Once per brief, never again for the same conversation.
Express interest in a public brief5When you express interest. Not refunded if you are not shortlisted. Returned only if the company withdraws the brief before its closing date. No limit on open interests; beside your balance we show what you would need if every one of them shortlisted you.
Send your proposal to a public brief that shortlisted you, and open the conversation10When you respond. Only a company that shortlisted you can trigger this. 15 in total with the interest, the same as an invitation.
Draft a programme with Programme Builder10Per programme draft, up to 10 AI drafts or changes. Returned if the first draft fails.
Swap which programmes are active, beyond your plan's monthly programme swaps5Per swap after the free ones (Starter 1, Growth 3, Pro 5 a month). A swap is pausing one programme to make another active. Making a programme active when your plan has room is free.
  • What is free. Browsing briefs, being invited, and continuing the conversation after you respond cost nothing.
  • What responding means. Responding is a commitment to explore the brief seriously, not a bid. Your fee is agreed in the conversation.
  • Monthly credits. They arrive on the first day of your cycle. Whatever is left at the end of the cycle expires; nothing carries over.
  • Upgrading mid-cycle. The extra credits for the days left arrive at once. The full new amount starts next cycle.
  • Credits you buy. They last 12 months from the day you buy them.
  • Which credits go first. We use the credits that expire soonest first. You never choose which.
  • When you are short. If an action costs more than you have, we show the shortfall and the smallest pack that covers it. Buy it and the action completes on its own.
  • Search. Credits never affect where you appear in search.
  • Plans. Starter gives 35 credits a month, about 2 brief responses. Growth gives 95, about 6. Pro gives 180, about 12. See plans to compare them. To buy a pack, go to Manage credits.
  • Renewal. Pay by card and your plan renews on that card. Pay by FPX and we send a payment link 7 days before each renewal. If a card renewal fails, we do not try the card again. Pay with the link in your email, or add a new card on Plan and billing and we charge the renewal to it at once.
  • Cards. Manage your cards on Plan and billing. You can delete the card your plan renews on only after you add a new card or move to Starter at renewal.

Hiring a trainer

How hiring works

  • Finding and booking a trainer. You do it the same way a company does: post a brief, invite up to five trainers, make it public, or both. Agree the scope in the conversation, then confirm the booking. Those steps are under For companies.
  • What it costs you. Posting, inviting, reading responses and every conversation cost you nothing. Trainers pay to respond.
  • The same rules. Ratings, cancellation and postponement, and complaints follow the same rules as for companies.
  • After confirmation. The claim, the payment and the paperwork are yours. The sections below cover them.

Payment

  • Marking the HRD Corp payment. HRD Corp pays you. Mark the payment received on the booking page within 3 working days of it arriving. The mark starts your deadline to pay the trainer. If you do not mark it within 3 working days, the 45-day deadline below still applies, and on a roster booking the late mark is recorded as a missed deadline.
  • Paying the trainer. You pay the trainer by FPX through WisdomHub within 14 days of marking the HRD Corp payment received, or within 5 working days on a roster booking. Billplz, our payment gateway, splits it the moment you pay, the platform fee one way and the trainer's share the other, so WisdomHub never holds the money.
  • The 45-day deadline. Whatever you mark, you must pay the trainer within 45 days of both sides confirming delivery, or within your own pay-by date above, whichever comes first. Past 45 days unpaid, the booking is overdue against you, it is recorded as a missed deadline on your record and, except on a roster booking, you can take no new WisdomHub activity until it is settled; on a roster booking it counts towards the review after two missed deadlines.
  • If HRD Corp has queried or rejected the claim. Record the status the HRD Corp portal shows, and its reference, on the booking. A query, or a rejection you are resubmitting, pauses the 45-day deadline. It restarts with the days it had left when you record the claim resubmitted, or when WisdomHub admin ends the pause. A booking can be paused for 30 days in total; after that the deadline restarts on its own. A rejection you are not resubmitting does not pause it: you still pay the trainer by the 45-day date.
  • A trainer you hired yourself. Of the agreed fee, 5% goes to WisdomHub and 95% to the trainer.
  • A trainer who invited you. You keep the share agreed at the invitation, a percentage of what HRD Corp pays. The 5% platform fee is deducted from the same amount, and the trainer receives the rest.
  • Roster bookings. Of what HRD Corp pays, 5% goes to WisdomHub, 15% stays with you and 80% goes to the trainer. The rest of the roster rules are under How the roster works.
  • Receipts. The trainer confirms receipt of your payment on the booking page. Your FPX receipt sits there too.
  • Completing the booking. A booking cannot be completed while your payment to the trainer is due.

The claim pack and invoice

  • Before the training. The company applies for the HRD Corp grant in eTRiS, the HRD Corp online portal. HRD Corp copies the SBL-Khas approval email, the grant approval, to you. Record it on the booking before the training date, with the application number, approved date and approved amount, and attach the email as proof. The claim step opens once it is recorded.
  • The claim pack. It is form JD14, the joint declaration signed by you and the company, and form T3, the attendance list signed by the participants. The company gives you the participant list for form T3, and participants add anything missing on the day. You fill in both forms; WisdomHub gives you a checklist of what the claim needs.
  • Filing it, and what happens if late. File the claim with HRD Corp within 7 days of both sides confirming delivery and mark the claim pack submitted on the booking page the same day; the date is on record for the trainer, the company and WisdomHub. A late pack shows as overdue on your Overview and is recorded as a missed deadline on your record. On the roster, two missed deadlines in six months send your record to WisdomHub admin for review.
  • Getting form JD14 signed. Ask the company to sign it in the conversation. The company has 3 working days. If it takes longer, your 7 days to file the claim pack pause until it signs, and the delay shows on the company's record, which trainers and providers see.
  • The trainer's invoice. WisdomHub generates the trainer's invoice for the agreed fee when both sides confirm delivery and keeps it on the booking page.
  • Leaving a booking. On a booking a trainer invited you to, ask to leave from the conversation, with a reason, until the claim is filed. The trainer has 48 hours to confirm or refuse; if the trainer does not answer, you leave the booking. A provider that leaves is not rated for that booking; the exit is recorded on it.

Your account

  • Registering. Sign up as a training provider with your company name and SSM number. WisdomHub admin verifies your Training Provider Registration Certificate within 2 working days, or within 12 hours if a trainer invited you to a booking, before your account opens.
  • Logging in. You log in with a 6-digit code sent to your email. There is no password.
  • Your company details. You edit your company details, your contact and the answers you gave at sign-up on the Company details page. Your sign-up answers are never shown publicly. Your business details (company name, SSM number, address) appear on the booking page and on the claim paperwork, because the paperwork needs them.
  • Changing your email. Enter the new address in Account settings and type the 6-digit code sent there within 15 minutes.
  • Marketing emails and your data. You can switch off marketing emails in Account settings or from any marketing email. You can file a data request from Account settings; we acknowledge within 7 days and answer within 21 days of a verified request, as the Privacy Policy sets out.
  • Closing your account. Closing deletes your account data within 30 days; booking, invoice and credit records stay for 7 years because the law requires it. Your account cannot close while a brief is open, a booking is open, or a payment to a trainer is due.

On the roster

How the roster works

  • What the roster is. The roster is WisdomHub's pool of HRD Corp registered training providers. When a company books a trainer who has no training provider of their own, WisdomHub assigns one from the roster to carry the claim. The company applies for the grant, the trainer delivers, and the roster provider files the claim.
  • Joining. Join from the roster page in your account once your Training Provider Registration Certificate is verified and your supplier details are complete, by agreeing to the Roster Training Provider Agreement on behalf of your company.
  • Whose turn it is. Roster booking offers go round the providers in turn: the provider whose last offer was longest ago is asked first. Every offer you receive moves you to the back of the turn, whether you accept it or not.
  • Capacity and pausing. Set in Roster settings the most bookings you will carry at one time. At that number you are skipped for the next booking, with no penalty, and keep your place in the turn. Pause yourself there at any time: no new offers arrive, and roster bookings already accepted continue.
  • Answering an offer. An offer stays open for 24 hours. Unanswered, it passes to the next provider in turn. Two unanswered offers in a row pause you until you resume. If no provider has accepted within 48 hours of the first offer, WisdomHub's fallback provider takes it.
  • Grant documents. Upload the quotation, trainer profile and course outline under Grant documents in the conversation within 3 working days of accepting.
  • Claim pack. File the claim pack within 7 days of both sides confirming delivery, and mark it submitted on the booking page the day you file.
  • Marking the HRD Corp payment. Mark the HRD Corp payment received within 3 working days of it arriving. The rules are under Payment.
  • Paying the trainer. Pay the trainer within 5 working days of marking the HRD Corp payment received. The rules are under Payment.
  • Money. HRD Corp pays you. Of that amount, 5% goes to WisdomHub, 15% stays with you, and 80% goes to the trainer. The training price itself is set by the trainer and agreed with the company in the conversation.
  • A missed deadline. Late grant documents, a late claim pack, a late HRD Corp payment mark or a late trainer payment is recorded as a missed deadline, as is leaving a booking 14 days or less before the training date. We record it on the day and email you that day, naming the booking, the deadline and the last day to dispute it. If you think it is wrong, make a complaint with the booking reference within 5 working days of the day we record it, and WisdomHub admin upholds or waives it with a reason you see. Every missed deadline and its outcome is listed on your Missed deadlines page, reached from Roster settings; a waived missed deadline stays listed and does not count.
  • Two in six months. WisdomHub admin reviews your record and decides within 5 working days whether you stay in the rotation or are suspended. Nothing suspends on its own. A missed deadline you are disputing still counts; WisdomHub admin decides your dispute first, in the same review. A suspended provider rejoins at the back of the turn when WisdomHub admin lifts it. Suspension is from the roster only; roster bookings you already accepted continue, and so do your account, your other bookings and your briefs.
  • A payment dispute. If a trainer raises a dispute about their payment on one of your bookings, no new roster offers reach you until WisdomHub admin saves its ruling. This is a pause, not a suspension.
  • Misconduct. Poaching the company, or arranging work with the trainer outside WisdomHub, means WisdomHub admin takes you out of the rotation at once. WisdomHub admin decides within 5 working days whether you return or are removed, after hearing your response.
  • Your certificate. Thirty days before it expires, offers stop. Roster bookings you already accepted continue. Upload the renewed certificate in Company details; WisdomHub admin verifies it and offers resume.
  • Who sees what. Companies see your business details on their booking page. Your roster record (how trainers rate you, trainers paid on time, offers answered in time, missed deadlines) is visible to you and to WisdomHub admin only.

For companies

Posting a brief, inviting trainers and every conversation are free for you. Trainers pay to respond.

Posting a brief

  • Starting. Post a brief from your Briefs page. It goes to up to 5 trainers you choose, out as a public brief, or both; with both, you invite up to 4 and interested trainers fill the rest.
  • Claiming from HRD Corp. Tick “I plan to claim this training through HRD Corp” and only HRDC accredited trainers are offered. We tell them a claim is involved before they respond.
  • Locked after sending. You cannot change who receives the brief, or the HRD Corp tick, after you send.
  • Budget. Your budget is your estimate for the whole training, tax included. On an HRD Corp claim, it is the amount you expect to claim. The final fee is agreed with the trainer in the conversation.
  • Attachments. You can attach up to 3 files, 10 MB each. Trainers see them with the brief.
  • Enhance brief with AI. Fill in the brief, then Enhance brief with AI turns your answers into one clear brief, free. You confirm it or keep your own text before you continue. You get 3 drafts for each brief and up to 10 drafts a day across your briefs. It is available once we have verified your company against its SSM record, which takes 2 working days from sign-up.

Invitations

  • Who is offered. Only trainers with an active programme in the brief's area are offered, and on an HRD Corp brief only HRDC accredited ones.
  • Their 48 hours. Each invited trainer has 48 hours. Their response is their proposal, fee and any files, and it opens the conversation.
  • No reply. After 48 hours a reliability miss is recorded against the trainer. You may swap the trainer for another, or leave the invitation open; an open invitation keeps its place, and the trainer can still respond until you swap them.
  • A decline. A trainer who declines frees the place for another invitation. Nothing is recorded against a trainer who declines inside the 48 hours.
  • Nobody responds. If no trainer has responded 30 days after you sent the brief, it lapses: nothing is recorded against anyone, and you can post a new one.

Public briefs

  • What trainers see. Your company name, logo and contact stay hidden until you shortlist. Trainers see your record instead: briefs posted publicly, how many you shortlisted on, typical time to shortlist, member since, and any missed shortlist deadline.
  • The closing date. Pick a closing date 2 to 7 days after posting. The brief closes to new interest at 23:59 that day. You can move the closing date once. Until then you see how many trainers are interested, not their names.
  • At the closing date. Every interested trainer is revealed at once, in the order search would show them, each with their profile, track record and one short note. No proposal or fee at this stage.
  • Shortlisting. You have 14 days from the closing date to fill the places your invitations did not take, and may extend once by 14 days. Shortlist fewer than the places, or none, if nobody fits. We tell every interested trainer when the shortlist deadline moves. If it passes with no shortlist, the brief ends as nobody shortlisted and that shows on the record trainers see when you next post a public brief.
  • After you shortlist. A shortlisted trainer sees your name and has 48 hours to send a full proposal, which opens the conversation. From then on they are in the same position as an invited trainer. If they decline or do not reply, you may shortlist a replacement until your shortlist deadline.
  • Withdrawing or ending. Withdraw a brief before its closing date and every interested trainer gets back the 5 credits they paid to express interest. End it with an outcome when you are done: hired an interested trainer, hired an invited trainer, hired elsewhere, or cancelled. We tell every trainer on it.

From conversation to booking

  • Agreeing the details. The brief stays pinned in every conversation. Dates, fee and details are agreed there.
  • Confirming. A booking is confirmed when both sides confirm it in the conversation.
  • Who files the HRD Corp claim. Only an HRD Corp registered training provider can claim, never a trainer as such. On an HRD Corp brief the trainer chooses before responding: they are their own provider, they bring one, or WisdomHub assigns one from our roster, a pool of registered providers, within 48 hours; if none accepts, our fallback provider takes it. Either way it costs you nothing extra.
  • Confirming delivery. After the training, both sides confirm delivery on the booking page. On an HRD Corp claim, no one invoices or pays before both confirmations.
  • Paying. On an HRD Corp claim you pay nothing through WisdomHub. On a self-funded booking you pay a deposit and a balance; see Payment below.
  • Tracking it. Your Briefs page tracks every brief through eight stages: Awaiting shortlist, Invited, Discussion, Confirmed, In delivery, Invoiced, Claim filed, Completed.

Payment

  • HRD Corp claim, applying for the grant. You apply for the HRD Corp grant in eTRiS, the HRD Corp online portal. The training provider gives you the quotation, trainer profile and course outline for it, and you add your own participant list, which you also give the provider in the conversation. Under HRD Corp's rules, training can start 14 days after the grant is approved.
  • HRD Corp claim, recording the approval. HRD Corp emails the SBL-Khas approval, the grant approval, to you and copies the training provider, who records it on the booking as proof before the training date. The provider cannot file the claim until it is recorded, so share the email with them if they do not have it.
  • HRD Corp claim, on the training days and after. On each training day your participants sign the attendance list, form T3. After the training the provider fills in the joint declaration, form JD14, and asks you to sign it in the conversation. Sign it within 3 working days. After that the provider's 7 days to file the claim pack pause until you sign, and the delay shows on your record, which trainers and providers see.
  • Who files and who pays. The provider files the claim pack within 7 days of both sides confirming delivery; you file nothing. HRD Corp pays the provider, and the provider pays the trainer. You pay nothing through WisdomHub, and WisdomHub never holds the money. If HRD Corp pays less than the claim, the shortfall is between the provider and the trainer; you are not asked to pay.
  • If the pack is late. An overdue pack shows on your Overview and WisdomHub admin follows it up with the provider. There is nothing for you to do unless we ask you to sign.
  • Your provider's details. The booking page shows which training provider files your claim and, once one is attached, its supplier details in Bahasa Malaysia and English.
  • Self-funded booking. You pay WisdomHub a 50% deposit by FPX when the booking is confirmed; the receipt is in your email and on the booking page. The balance is due by FPX within 14 days of both sides confirming delivery. We pay the trainer their fee, less the 5% platform fee, within 5 working days of the balance arriving.
  • If the balance is late. It shows as overdue and we flag it to WisdomHub admin at 7 days. At 14 days overdue you cannot post briefs or confirm bookings until it is paid, and we pay the trainer from the deposit you already paid. At 30 days overdue we record the balance as a debt owed to WisdomHub and your account is limited to settling it.

  • Your own rating. How trainers rate working with you shows on your Overview after 5 rated bookings.

Cancellation and postponement

  • Cancelling a booking. Either side can cancel a confirmed booking from the booking page, with a reason. We tell the trainer.
  • Your grant application. On an HRD Corp claim nothing is owed through WisdomHub. Withdraw or amend your grant application in eTRiS yourself.
  • Filling the place. Your other shortlisted conversations on the brief reopen, and you may invite someone new, up to 5 trainers in total.
  • What is recorded. If you cancel 14 days or less before the training date, it shows on your record, which trainers see. If the trainer cancels 14 days or less before, it is recorded as a reliability miss against the trainer.
  • Self-funded, you cancel. More than 14 days before training, we refund your deposit in full, by bank transfer within 5 working days. At 14 days or less before, we refund 90% the same way; of the 10% kept, half goes to WisdomHub and half to the trainer.
  • Self-funded, the trainer cancels. We refund your deposit in full whatever the date, by bank transfer within 5 working days.
  • Postponing instead. Postpone from the booking page for up to 3 months instead of cancelling. The booking stays with the same trainer and new dates are set in the conversation. On a self-funded booking the deposit is held; on an HRD Corp claim the new date needs a fresh grant application in eTRiS. If no date is agreed within 3 months, the booking is cancelled and a held deposit is refunded in full within 5 working days.

Complaints

  • Raising a complaint. Use the Make a complaint link on any booking, conversation or receipt. It covers anything about a booking, a payment or a trainer. Use Contact us for anything that is not a complaint.
  • What happens when. We acknowledge your complaint by email within 2 working days and send you our decision within 14 days of the complaint. If we need longer, we email both sides the new date and the reason.
  • Possible outcomes. We uphold it, dismiss it, or record a solution both sides agree to, such as a make-up session from the trainer.
  • If the training was not as agreed. Do not confirm delivery; make a complaint instead, and WisdomHub admin decides within 14 days whether it counts as delivered. Your balance is not due until delivery is confirmed. WisdomHub does not order refunds after you confirm delivery.
  • Closing the case. The case closes 7 days after our decision email. If you or the other side reply, it stays open until we close it.

Your account

  • Logging in. You log in with a 6-digit code sent to your email. There is no password.
  • Your company details. You edit your company details, your contact and the answers you gave at sign-up on the Company details page. They are kept on record and never shown publicly.
A company account cannot close while a brief is open, a booking is open or a self-funded balance is due.
